Position Overview

The Office of Inspector General is seeking to hire an Administrative Assistant for the Springfield, Illinois office to serve as the Staff Assistant to the Inspector General. Conducts confidential and administrative duties in the operation of the Inspector General’s administrative office. Conducts research on administrative and personnel issues impacting Office of Inspector General (OIG) staff. Serves as personnel liaison for OIG. Conducts new employee orientation for OIG administrative and field staff. Interprets, explains, and implements procedures designed to ensure and maximize efficiency in the Office of the Inspector General. Serves as primary point of contact between OIG and DHS divisions and offices including the Secretary’s Office. Serves as primary timekeeper for the Office of Inspector General.

Job Responsibilities

  • Serves as staff assistant to the Inspector General.
  • Serves as personnel liaison for OIG.
  • Monitors OIG budget.
  • Interprets, explains, and implements procedures designed to ensure and maximize efficiency in the Office of the Inspector General.
  • Serves as primary timekeeper for the Office of Inspector General.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
  • Requires two (2) years of professional experience in a public or private organization.

Preferred Qualifications

  • Two (2) years of professional experience working for a public or private organization maintaining confidentiality and handling sensitive information with professionalism.
  • Two (2) years of professional experience as a representative of an administrative leader to discuss and/or interpret programs, services, and procedures for the general public and/or other internal/external entities.
  • Two (2) years of professional experience communicating effectively (orally and in writing) and coordinating day-to-day activities that lead to greater efficiencies and effectiveness within a public or private organization.
  • Three (3) years of professional experience meeting deadlines with strong attention to detail while multitasking multiple projects.
  • Three (3) years of professional experience managing projects that are sensitive and controversial in nature for a public or private organization.
  • Two (2) years of advanced proficiency in Microsoft Office Suite, SharePoint and Teams, including preparation and/or use of graphs, charts and/or maps.
