The Fun:
Greet clients. Give necessary documents to be completed at time evaluation or therapy to clients. Cont! acts the necessary therapists when a client has arrived. Collects and processes co-pays from clients.
Professionally answer and address all phone calls. Ensure calls are redirected accordingly. Check telephone messages for accuracy and follow up.
Follow opening or closing procedures for the operation of the front desk.
Notify therapist of client arrival for therapy/evaluation.
Maintains cleanliness and order in front desk, waiting area, bathrooms and kitchens. This includes maintaining stock of cards, client forms and brochures in the waiting room.
When insurance intakes arrive from our insurance billing company, copies are made for the Office Manager, the Rehabilitation Director, the front desk binder and the Patient Care Coordinator. Prepares maintains and follows the "Copay Sheet" for each day's visits. Maintains the front desk insurance intake binder in alphabetical order. In addition, maintaint the insurance statement binder in alphabetical order. Receive communication from Medicaid Authorization Coordinat! ors and Patient Care Coordinators regarding Medicaid coverage and authorization status, and, when necessary, communicate with parents/responsible party about any changes in appointment scheduling due to coverage/authorization issues
Alert Medicaid Authorization Coordinators and Patient Care Coordinators to any changes in Medicaid coverage presented by parent/responsible party.
Alert Patient Care Coordinators and Champions Billing to any changes in Commercial Insurance coverage or demographic information presented by parent/responsible party.
Processes incoming faxes to proper person.
Record client cancellations on the cancellation log. Immediately contact therapist of cancellation by telephone or in-person. Record cancellation on Microsoft Outlook schedule and on dry erase board located in front office area.
Knowledgeable of organization personnel, nature of Cole Therapy Center business and locations.
Knowledgeable of all emergency procedures, and lo! cation of emergency equipment. In an emergency situation be prepared to call “911â€. Also upon evacuating site transport emergency binder and appointment schedule out of office.
Attend weekly administrative meetings.
Observe patient confidentiality and follow HIPAA guidelines.
